Access Control & Attendance: what to know before you buy

Access control decides who may open which door and when, and records every entry. Attendance systems use the same readers to record when staff arrive and leave, and export the data for payroll.

Cards, fingerprints, face recognition, PIN codes and QR codes can be combined. Face recognition is fast and touch-free, fingerprints are economical, and cards suit visitors and large teams. Sensitive rooms often use two methods together.

What a complete system includes

  • Readers or terminals: card, fingerprint, face, palm or QR
  • Door hardware: magnetic locks or electric strikes, exit buttons and break-glass units
  • Controllers and software for door rules, schedules and reports
  • Turnstiles, flap barriers or vehicle barriers for busy entrances
  • Visitor management and attendance reports for payroll
  • Power supplies with battery backup for locks and readers

How to choose the right setup

  1. List every door and entrance and decide who needs access, at which times.
  2. Choose the identification method that suits the people: face for busy entrances, fingerprint or card for offices, two methods for server rooms and vaults.
  3. Check fire safety: doors on escape routes need fail-safe locks that open on power loss and fire alarm.
  4. Decide whether attendance data must feed your payroll or HR software and in which format.
  5. Plan for growth: the number of users, faces and fingerprints the system must store.

How a project runs

An access control project starts by walking each door and agreeing the rules. Locks, readers and controllers are then installed, users are enrolled, fire-alarm release is tested and the administrators learn how to add users and run reports.

Access Control & Attendance: common questions

Fingerprint, face or card: which is best?

Face recognition is quickest for many people and needs no touch. Fingerprint readers are economical for offices. Cards suit visitors and large teams. Many sites combine methods, for example card plus fingerprint for sensitive rooms.

Will the doors open in a fire or power cut?

They must on escape routes. Fail-safe magnetic locks release when power is cut and can be linked to the fire alarm, and an emergency break-glass unit opens the door by hand.

Can the system calculate staff attendance?

Yes. Attendance terminals record arrival and departure times and the software produces reports, late and early lists, and exports for payroll.

Can visitors get temporary access?

Yes. Visitor cards or QR codes can be issued for a set time and cancelled automatically, and every visit is logged.
