Choose Your Devices for Hospitals

Every option below is compatible with this solution and comes from different brands and models. Choose one per component.

Reception, wards, emergency and pharmacy need reliable routing, and emergency lines sit on a UPS-backed path with a failover route.

This is the analog solution: an analog PABX with analog phones on telephone wiring. It works without a data network and keeps the cost per extension lowest. It contains no IP phones or gateways.

Typical size: 40–120 extensions with emergency routing.

Buying Guide: Analog Solution

What to check at each step. Tap a step to open it; products are chosen above in “Choose Your Devices”.

Step 1: Extensions, lines & call needs

Planning step

Buying guide

Count users, departments, outside lines and peak calls.

Details

  • Check before buying: Users per department, outside lines and busiest-hour calls
  • Common mistake: Sizing by headcount only

How to choose

  • List every desk, department and shared phone (the pharmacy first) that needs an extension
  • Count outside lines from your busiest hour, not total staff
  • Note features you need: call transfer, ring groups, IVR menu, voicemail, recording
  • Add 20–30% spare extensions for growth

Rule of thumb

A useful rule for a hospital: outside lines ≈ 1 for every 4–6 staff, then add spare extensions for growth.

Step 2: Analog PABX system

Analog PABX

Buying guide

Match outside lines × extensions, with room to expand.

Details

  • Check before buying: Capacity (e.g. 8 lines × 24 extensions) and expansion cards
  • Common mistake: A PABX with no free expansion slots

How to choose

  • Capacity is written as lines × extensions, for example 8 × 24
  • Check how far it expands with cards before you need a new system
  • Look for caller ID, DISA, door-phone and auto-attendant support
  • A hybrid PABX can add IP extensions later without replacing the system

Rule of thumb

For a hospital, choose a PABX with at least 25% free extension capacity after today's count.

Key specifications to compare

  • Lines × extensions
  • expansion cards
  • caller ID
  • DISA / auto attendant

Right product when

Lines and extensions fit today with free capacity and expansion slots.

Step 3: Analog phones

Analog Phones

Buying guide

Single-line phones for most desks, key phones for reception.

Details

  • Check before buying: Phone type per desk and caller-ID support
  • Common mistake: Phones that do not show caller ID

How to choose

  • Single-line analog phones suit most desks and are the cheapest option
  • Proprietary key phones give reception one-touch transfer and line lamps
  • Choose caller-ID display models so staff see who is calling
  • Cordless analog phones help staff who move around the floor

Rule of thumb

Use key phones at reception and single-line caller-ID phones on other desks.

Key specifications to compare

  • Single-line / key phone
  • caller ID
  • speakerphone

Right product when

Each desk has the right phone type and reception has a key phone or console.

Step 4: PSTN & GSM lines

Gateways & Trunks

Buying guide

Connect landlines, and GSM lines through a gateway.

Details

  • Check before buying: Number of landlines and mobile SIM lines
  • Common mistake: Too few outside lines for busy hours

How to choose

  • Each PSTN landline uses one CO port on the PABX
  • A GSM (FCT) gateway turns a mobile SIM into a PABX line
  • Mobile-to-mobile calls through GSM lines often cost less
  • Keep one line as backup for emergencies

Rule of thumb

Plan outside lines for the busiest hour, and add a GSM gateway if most calls go to mobiles.

Key specifications to compare

  • CO lines
  • GSM / FCT ports
  • SIM count

Right product when

Outside lines cover the busiest hour with a backup line.

Step 5: Telephone cabling & MDF

Cabling & MDF

Buying guide

2-pair cable to each desk, terminated on an MDF / Krone frame.

Details

  • Check before buying: Cable route, pair count and MDF capacity
  • Common mistake: Unlabelled cable runs

How to choose

  • Run 2-pair telephone cable (or Cat6 for future IP) to each desk
  • Terminate everything on an MDF / Krone frame for easy changes
  • Label each pair with the extension number at both ends
  • Test every line before connecting phones

Rule of thumb

Run Cat6 instead of telephone cable where you may move to IP later; it carries analog today and IP tomorrow.

Key specifications to compare

  • 2-pair / Cat6
  • MDF / Krone
  • labels

Right product when

Every extension has a labelled, tested pair on the MDF.

Step 6: UPS & power backup

UPS & Power

Buying guide

Keep the PABX running in a power cut.

Details

  • Check before buying: Load of the PABX and the runtime you need
  • Common mistake: No backup power on the phone system

How to choose

  • Add the watts of the PABX and any power supply it uses
  • Choose UPS runtime at the real load, not the maximum rating
  • Keep reception and emergency lines on backup power
  • Test and replace batteries on schedule

Rule of thumb

Put the PABX on a UPS so reception can still take calls during load-shedding.

Key specifications to compare

  • VA / watts
  • runtime
  • outlets

Right product when

Runtime covers the PABX for your typical outage.

Step 7: Installation & maintenance

Services

Buying guide

Plan programming, testing and a support plan.

Details

  • Check before buying: Site survey, extension plan, programming and service plan
  • Common mistake: No numbering plan or documentation

How to choose

  • Start with a site survey and an extension numbering plan
  • Program IVR, ring groups, trunks and permissions before go-live
  • Test every extension, outside line and transfer
  • Hand over a numbering list and admin passwords, and agree a support plan

Rule of thumb

Handover should include the extension list, IVR flow and a test of every outside line.

Key specifications to compare

  • Survey
  • programming
  • testing
  • SLA

Right product when

Scope covers survey, programming, testing and a clear support SLA.

Step 8: Warranty & support

Planning step

Buying guide

Verify warranty, support and spare handsets.

Details

  • Check before buying: Warranty period, support channel and spares
  • Common mistake: Unclear replacement terms

How to choose

  • Compare warranty length for the PBX and phones
  • Confirm local support hours and remote programming help
  • Keep one or two spare handsets for quick swaps
  • Buy from an authorised source

Rule of thumb

Ask for warranty length, support hours and spare availability in writing.
